Administrative Assistant

Maintain project files and create new files when needed for assigned departments.
Provide reproduction and related tasks (i.e. copying and binding) for assigned departments.
Prepare correspondence, letters, memos, reports and other materials for assigned in-house staff on an as needed basis.
Order and unpack supplies.
Make sure all of the conference rooms and clean and neat for client meetings.
Make sure the refrigerator is stocked with beverages for the client meetings.
Coordinate the service on all of the printers and plotters in the offices.
Finalize all proposals and do project start-ups.
Forward all expense report information to corporate.
Set-up all electronic files for the projects.
Keep track of all of the employees schedules and forward calls and inquires to the proper location.
Maintain the FTP sites for projects.
Qualified candidates with administrative support experience in engineering or construction setting a plus.
Proficiency in MS Office 2010 required.
Ability to multi-task and work effectively within a team.
Professionalism and effective communication skills a must.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
